1 Acceptance of Terms

By registering and using the PRMSU Sta. Cruz OJT Monitoring System, you agree to comply with and be bound by these Terms of Service and Privacy Policy in their entirety. If you do not agree to any part of these terms, you are not authorized to register or use this system in any capacity.

2 Purpose of the System

This system is developed exclusively for the PRMSU Sta. Cruz Campus — College of Computing and Information Technology (CCIT) to digitize and manage On-the-Job Training (OJT) activities. Its core features include face-verified time-in/out tracking, daily attendance logs, requirements and narrative report submission, supervisor evaluations with digital signature, OJT certificate issuance, and automated Daily Time Record (DTR) generation.

3 Role-Based Access Control

Access to this system is governed by role-based permissions. Each registered account is assigned one of the following roles with clearly defined privileges:

4 User Responsibilities

• ▸You must provide accurate, truthful, and up-to-date information at the time of registration and throughout system use.
• ▸You are solely responsible for maintaining the confidentiality and security of your login credentials.
• ▸You must not share your account or permit others to access the system using your credentials.
• ▸Students must only record their own attendance; submitting records on behalf of another student is strictly prohibited.
• ▸All uploaded files must be accurate, relevant to OJT activities, and free from malware or prohibited content.
• ▸You must comply with all applicable Philippine laws, CHED regulations, and PRMSU institutional policies while using this system.

6 Account Approval & Access Control

Student accounts are automatically activated upon successful registration using a verified School ID number from the approved whitelist. All other roles — Supervisor, Coordinator, and CCIT Head — require explicit approval by the CCIT Head before system access is granted. The system administrators reserve the right to deny, suspend, or permanently revoke any account that violates these Terms of Service or applicable PRMSU institutional policies.

7 Evaluation Finality

Supervisor evaluations submitted through this system are considered final and binding upon submission. Once submitted, evaluations cannot be edited, retracted, or deleted. Each evaluation is automatically stamped with the submission date and time and accompanied by the supervisor's digital signature to ensure the integrity and authenticity of the official assessment record.

8 Report Deadlines

Report submission deadlines are established by the CCIT Head and are made visible to all registered students within the system. Students bear full responsibility for submitting all required narrative reports and requirement documents on or before the designated deadlines. Submissions received after the deadline remain subject to review and approval at the discretion of the assigned Coordinator or Supervisor.
